Event Registration Terms & Conditions
By registering for BUG 23rd Annual Meeting 2026 (the “Event”), you agree to the following Terms & Conditions.
1. Event Details
The Event will take place on 25 – 26 September 2026 at the DoubleTree by Hilton Brighton Metropole organised by the British Uro-oncology Group (BUG) (“the Organiser”). The Organiser reserves the right to make reasonable changes to the Event programme, timings, speakers, venue, or content if necessary.
Profile Productions Ltd is the appointed PCO.
2. Registration & Payment
• All registrations must be completed through the official registration process.
• Registration is only confirmed once a confirmation email has been sent. If you do not receive confirmation within 24 hours, please contact us at bug@profileproductions.co.uk or call 020 3725 5840.
• The preferred method of payment is by card. Where an invoice is requested, payment must be made within the payment date terms specified on the invoice or prior to the event (whichever date is earlier).
• Failure to pay an invoice may result in a delegate or an organisation not being permitted to book a future event until the outstanding invoice is settled.
• Without exception, all fees must be paid in full prior to the event. Any delegates arriving at the conference with their payment outstanding will be asked to settle the balance with a valid debit/credit card before entering the conference and will be refused entry if payment is not made.
• Registration fees which include accommodation - these include complimentary refreshments, lunch on two days, conference material and accommodation and are outside the scope of VAT, TOMS supply. Registration fees without accommodation - these include complimentary refreshments, lunch on two days, conference material and are inclusive of VAT at the prevailing rate. No registrations include travel. Conference dinner tickets are inclusive of VAT at the prevailing rate.
3. Cancellations, Refunds & Transfers
• Cancellations by delegates:
o Cancellations must be made in writing to bug@profileproductions.co.uk.
o Cancellations received before 13 August 2026 will be eligible for a refund but will be subject to a £45 administration fee. Refunds will be made via the same method as the original payment. It can take up to 7 working days for the funds to appear once the refund has been processed.
o No refunds will be issued after 13 August 2026.
o Any cancellations that still have payment outstanding will be liable for either the administration fee or the full registration fee, dependent on the time of the cancellation.
o Substitute delegates are permitted at no extra charge no later than 72 hours prior to the event. A substitution can only be accepted for the whole ticket and not in part. Details of the substitution must be provided in writing to bug@profileproductions.co.uk.
• Event Cancellation or Postponement:
o The Organiser reserves the right to postpone, alter and/or cancel all or any part of the event for any reason (including, without limitation, by reason of a force majeure).
o In the event that all or any part of the event is postponed, altered or cancelled for any reason, delegates will be notified as soon as practicable prior to the advertised dates of the event. The Organiser accepts no liability in respect of any loss or damage, whether direct, consequential or otherwise arising from any alteration (including, without limitation, a change to the format of delivery of the event or a change of event venue), postponement (including, without limitation, any delay in providing the event), or cancellation of the event.
o The Organiser shall not be liable to delegates for any costs incurred in connection with accessing/attending the event in the event of cancellation or postponement, including but not limited to pre-booked travel and accommodation.
4. Attendance & Conduct
• Delegates are expected to behave respectfully toward speakers, staff, and other delegates, and in a professional manner.
• The Organiser reserves the right to refuse entry or remove any attendee whose conduct is deemed disruptive, unsafe, or inappropriate, without refund.
• The Organiser does not accept responsibility for the views expressed by individual speakers.
• Canvassing for orders by delegates or any unauthorised person, including the display or distribution of materials, is strictly prohibited. Canvassing is only permitted by exhibitors (on their own stands), at sponsored sessions (in agreement with The Organiser), or via official promotion options and by authorised individuals. Any delegate found to be canvassing in this way will be asked to stop and may be asked to leave the event without refund.
• Delegates agree to follow rules and requirements imposed by The Organiser or the Event’s venue in response to any public health events, even where they go beyond Government guidelines.
5. Photography, Video & Media
• The Event may be photographed or recorded.
• By attending, you grant the Organiser permission to use images, audio, and video recordings of you for promotional, marketing, and archival purposes, unless you notify the Organiser in writing prior to the Event or inform staff at the registration desk onsite.
• Other attendees at the conference (delegates, speakers, exhibitors and sponsors etc.) may also take photographs and videos. The Organiser accepts no responsibility in connection with the use of these photographs or videos.
6. Intellectual Property
• All content, materials, and presentations provided at the Event are protected by copyright and other intellectual property rights.
• You may not record, reproduce, distribute, or share Event content without prior written consent from the Organiser and/or relevant speaker.
7. Liability & Disclaimer
• Attendance at the Event is at your own risk.
• To the fullest extent permitted by law, we are not liable for any loss, damage, injury, or expense arising from your attendance, except where caused by our negligence or breach of statutory duty.
• Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under UK law.
8. Data Protection & Privacy
• By registering for this event, you agree that The Organiser and appointed PCO may collect and use your personal data to manage your registration, communicate event information, and meet legal obligations.
• Any dietary, accessibility, or other optional information will be used only to support your participation. Your data may be shared with trusted event service providers and will be handled in accordance with UK data protection law.
• You have rights under UK GDPR, including access, correction, and deletion of your data. Full details are available in our Privacy Notice: https://www.eventsair.com/privacy.
• Delegate details (excluding contact details) are made available to sponsors, exhibitors and other attendees via a delegate list and/or the event app, but delegates may opt out of appearing on the delegate list or decline to make their app profile public.
9. Force Majeure
The Organiser is not liable for failure or delay in performing obligations due to events beyond reasonable control, including but not limited to acts of God, government restrictions, natural disasters, or technical failures.
10. Governing Law
These Terms & Conditions are governed by the laws of England and Wales, and the courts of England and Wales shall have exclusive jurisdiction.
