1. Registration fees include refreshments, lunch on three days, conference gala party and all conference materials. Fees exclude accommodation and travel. 2. All fees are payable in British Pounds (GBP). Payments can only be made by credit card Visa or Mastercard (AMEX not accepted). If you are unable to pay by credit card a BACS payment option is possible. Bank transfer fees are the responsibility of the payer. Contact the organisers directly. 3. Fees are UK VAT exempt but all local taxes and VAT are included. 4. In order for your booking to be processed you must agree to the terms and conditions. Your place is not guaranteed until you have received email confirmation from Profile Productions Ltd. If you do not receive confirmation within 24 hours of your booking being made, you should contact Profile Productions by email, at alpha@profileproductions.co.uk. 5. Cancellations received on or prior to the 6 February 2026 will be refunded but will be subject to a 10% administration fee. If a cancellation is received after this date we regret that no refund can be made. Substitute delegates are welcome at no extra charge but we require you to advise us of any substitutions no later than 72 hours prior to the event. A substitution can only be accepted for the whole ticket and not in part. Cancellations will need to be made in writing to alpha@profileproductions.co.uk. 6. No shows, early departures and postponed arrivals will not be reimbursed. 7. Accommodation fees includes bed, breakfast, Croatian VAT and local tax. Any additions to your accommodation booking can be made depending on availability. Any cancellations please see above terms. 8. Any visas required to travel to Croatia and any costs associated with that are the sole responsibility of the delegate. If a Visa is refused, refunds will be considered on a case by case basis in line with the cancellation policy above. 9. An official visa letter of invitation will only be issued once a delegate place has been paid for in advance. 10. Changes to any aspect of the conference (including programme) may be necessary due to events outside the control of Profile Productions or the ALPHA Scientists Executive Committee. The organisers therefore reserve the right to make any necessary amendments to the programme or timings of the event. 11. The details of registered delegates (name, place of work and occupation) will be placed on the attendee list and in the app which will be given to sponsoring companies and exhibitors and made available to delegates onsite at the conference. Delegates who do not wish to be included on this list should advise at the time of booking. 12. There will be photography and/or video production taking place during the conference and the resulting images may be used for promotional purposes online and/or in printed materials. Delegates who do not wish their images to be included in these materials should contact the organisers by email at alpha@profileproductions.co.uk prior to the event. 13. In the event of the organisers being unable to hold the conference for reasons beyond their control such as public health warnings, community restrictions or epidemics, which result in the format of the conference being changed to an online version, you will be given a fixed period to cancel your registration. Otherwise, your registration will be automatically transferred. 14. Attendance fees will not be refunded in the event of threat of war, terrorism or similar circumstances outside of the organisers’ control, which means neither a face-to-face nor online conference can be held. 15. By registering for the event, you are agreeing to your details being processed on the registration platform (EventsAir). When you register, an account will be created with all the information that you entered. This account will allow you to access the app and the attendees' list to network before, during and after the event. We may contact you via email in the future to tell you about upcoming events. If you do not wish to be contacted, please inform us by emailing alpha@profileproductions.co.uk. 17. Data information: Profile Productions Ltd, the organiser of this conference, complies with the Data Protection Act of 2018. On the lawful basis of having received your consent, as indicated by your ticking the box/es, the company will hold the personal data, on behalf of ALPHA Conference, and said personal data shall be kept for no longer than is necessary for the purposes for which it is being processed. 18. Exhibitors may scan your badge or app QR code and by having your badge scanned, you agree to share your name, place of work and email with that company. The company may then use this information to contact you after the event or for other purposes that you agree with them. The exhibitor will then store your data in line with their own data policy.
